How to Map a Printer for All Users?

Issue/Question

How do I map a printer for everyone on a machine? 

Environment

  • Windows 10

Resolution

  • In the Search bar, search for Printers & Scanners.

  • Select Add a printer or scanner.

  • Once it is done scanning select, The printer that I want isn't listed.

  • Select the option, Add a local printer or a network printer with manual settings.
  • Select Next.

  • Select Create a new port radio button.
  • In the Type of Port drop-down, select Local Port.
  • Select Next.

 

  • Enter the \\print and the printer name. The printer name is located on the front or side of the printer. Example: \\print\ca114r1 (capitalization does not matter). 

  • Install the Printer Driver. Find the make and model of the printer. If the specific printer isn't listed under the printers the next best options is a universal print driver. If no universal driver is available you can do windows update to see if it has the printer listed. 
  • Once you select the driver, select Next

 Note: If you already have that driver installed will give you the option to use the currently installed or replace. Unless there is a problem with drivers using the currently installed this one should work. Select Next, if this option came up. 

  • Enter a name for the printer. This allows you to find it easier in the list of printers. 
  • Select Next. 

  • Select Do not share this printer.
  • Select Next. 

 

  • Decide if you want this your default printer. If you do not, uncheck the set as the default printer. 
  • Select Finish.
